HIPAA and cloud AI
HHS says a cloud provider that creates, receives, maintains or transmits electronic protected health information for a practice is a business associate, and the practice needs a business associate agreement with it before using the service. That applies to cloud AI services too.
A machine you own, in your office, takes the outside AI company out of that picture. It does not make a practice HIPAA compliant: your Security Rule safeguards, access controls and policies still apply.
Our own implementation and management plan do touch your files, so we sign a business associate agreement with every practice before we start.
What it does for a practice
- Answer staff questions from your own policies, procedures, forms and payer documents, with a link to the source.
- Find the current version of a form or policy, and which one replaced it.
- Pull together what your files say about an account or a claim.
- Separate workspaces where you need them, for example front office and billing.
What it will not do
It is not a clinical tool: it does not diagnose, recommend treatment or replace clinical judgement. It answers from your practice's own documents. Like every AI, it is not right every time. That is why every answer links to the file or record it came from, so anyone can check it.

Does this make our practice HIPAA compliant?

No product does. Keeping the data on a machine you own removes the outside AI vendor from the picture, but your own safeguards, policies and agreements still apply. Ask your compliance adviser; we will walk them through how it works.
Will you sign a business associate agreement?

Yes. Implementing and managing the machine means we handle your files, so we sign a business associate agreement with every practice before work starts. The AI itself runs on the machine in your office; no outside AI company is involved.
Does it connect to our practice management system?

It connects to the systems your practice runs on with the permissions you set. Name the systems you use on the consultation and we will tell you exactly which connect; the fixed quote lists every one.
What does it cost?

For a practice of up to 10 staff, that is the Team level: $4,799 for the machine at Apple's price, $5,000 to $7,500 for the implementation and $1,500 a month for the management plan, so $27,799 to $30,299 in year one and $18,000 a year after. No per-seat fees. Larger practices fit Office: $32,499 to $34,999 in year one.
